Why Baseball Programs Outgrow Spreadsheets

Most youth baseball organizations start the same way: a Google Sheet for the roster, a group text for the schedule, and a shoebox of registration checks. That works for one team. It falls apart the moment you add a second.

Baseball is uniquely messy to run. A single club might carry an 8U tee-ball team, a 10U rec squad, and a 12U travel team, each with its own coaches, fees, and tournament calendar. Kids move up divisions between seasons. Players try out for travel and get cut back to rec. Uniform orders depend on jersey and pant sizes you collected three months ago and can no longer find.

Clubside replaces all of that with one system. Every player who registers lands on the right team roster automatically, with their position, batting and throwing hand, and sizes attached. You stop re-keying data from forms into spreadsheets, and you stop guessing who actually paid.

How Baseball Registration Works

When you create a baseball organization, Clubside builds a registration form with the fields baseball actually needs. Players (or their parents) select a primary position, note whether they bat and throw left or right, choose a jersey and pant size, and list years of experience. You can add, remove, or reorder any field from your settings, so if you also track a secondary position, a preferred number, or a coach-pitch versus kid-pitch preference, you add it once and it shows up for every family.

Each team gets its own registration link. Run separate links for your 8U, 10U, 12U, and 14U divisions so a family signing up a nine-year-old only sees the team they belong on, and so an age cutoff never lands a kid on the wrong roster. For travel programs, point players at a tryout registration first, then move accepted players into the paid team registration once rosters are set. Rec leagues can open a single link and let families sign up straight through. Either way, the sizes and positions you collect feed straight into your uniform order and your lineup planning.

Parents complete the whole thing from their phone in about five minutes: fill out the form, pay the registration fee, and sign your waivers in one sitting. No printing, no drop-offs, no chasing paper. Youth mode keeps a parent or guardian on every registration, so the adult signing waivers and paying is always on record, and each family can register more than one player without starting over.

Collecting Registration Fees, Tournament Dues, and Equipment Costs

Baseball has more line items than almost any youth sport. There is the base registration fee, then travel tournament entry dues, then a uniform and equipment order, and sometimes a facility or cage rental split across the roster.

Clubside collects the registration fee at sign-up through Stripe, so payment and registration happen together. For everything after that, send an invoice. Charge the whole team for a weekend tournament, bill a uniform deposit, or collect a one-off equipment cost, and parents pay online with a card, Apple Pay, or Google Pay. Your dashboard shows exactly who has paid and who still owes, per charge, so the treasurer is not reconciling Venmo screenshots against a checkbook the night before a tournament. When a family pays, the record updates for everyone, and you can see at a glance whether the 12U travel roster is fully funded before you commit to the entry fee.

Money moves directly from the parent to your organization bank account through your connected Stripe account. Clubside never holds your funds. Compared to TeamSnap at 3.25% plus $1.50 per transaction, Clubside keeps processing fees low, which adds up fast across a season of dues and tournament payments.

Rosters and Coach Access Across Every Team

The moment you approve a registration, that player appears on the team roster. No import, no copy-paste. Filter your organization by team, age division, or position to see your whole program at a glance, and know who is a lefty in the outfield versus who plays the corner infield. When a uniform order is due, you already have every jersey and pant size in one place instead of texting fifteen parents the week before opening day.

Every coach gets their own login. A head coach sees only their team: the roster, each player registration, the calendar, and team communications. Assistant coaches and trainers can be added with the same team-scoped access, so your 12U travel coach never sees your 8U rec data and vice versa. That matters when you are running six teams and a dozen coaches out of one club, and it keeps player contact details and medical info in front of only the people who should have them.

When the season ends and players age up, you carry forward what you need into next season instead of rebuilding a roster from scratch. The registration history, payment records, and signed waivers stay attached to each player, so a family that played 10U last spring is a few clicks from being on your 12U roster this year.

Frequently Asked Questions

Can I add custom fields for positions and batting/throwing hand?

Yes. A baseball organization starts with fields for primary position, batting and throwing hand, jersey size, pant size, and experience level already built into the registration form. You can add, remove, or reorder any field from your admin settings to match how your program runs.

How do I handle multiple age divisions and travel teams in one organization?

Create a team for each division, like 8U, 10U, 12U, and 14U, plus separate teams for your travel squads. Each team gets its own registration link, so families only see the team they belong on. Coaches get access scoped to their own team, and you see every team from one organization dashboard.

Can I collect tournament fees separately from registration?

Yes. Registration fees are collected at sign-up, and everything else runs through invoices. Send a tournament dues invoice to a whole team, bill a uniform deposit, or charge a one-off equipment cost. Parents pay online through Stripe, and your dashboard tracks who has paid on each charge.

Is the free plan enough for a small league?

For many small leagues, yes. The free Starter plan includes 3 teams and up to 75 players with full online registration, payment collection, waivers, and coach dashboards. No credit card is required. When you outgrow it, the Club plan is $29/month for up to 15 teams and Pro is $79/month for up to 50 teams.

How do I switch from TeamSnap or a spreadsheet?

Set up your organization in a couple of minutes, create your teams, connect Stripe, and share your registration links. You can run Clubside alongside your current setup for a season to compare. There is no annual contract and no charge to start, so switching costs you nothing but the time to send new links.

Can I collect waivers and medical info at registration?

Yes. Players and parents can sign your liability waiver and other agreements online as part of registration, and you can enable fields for medical information and emergency contacts. Everything is stored with the player record, so your coaches and admins have it when they need it.
